1. Who we are

BarnDesk is a farm management mobile and web application operated by BarnDesk LLC, a Wyoming limited liability company ("BarnDesk", "we", "us", or "our").

This Privacy Policy explains what personal information we collect, how we use it, and your rights regarding it.

2. What information we collect

2.1 Account information

When you create a BarnDesk account, we collect:

• Your name
• Email address
• Authentication identifier (Google account ID if you sign in with Google)
• Account preferences (theme, notification settings)

2.2 Farm data you create

When you use BarnDesk, we store the data you create:

• Farm details (name, location, year founded)
• Animal records (tag, name, species, breed, lineage, health logs, weights, vaccinations, breeding events)
• Equipment records (make, model, maintenance logs, costs)
• Financial records (vendor, amount, date, category, IRS Schedule F mapping)
• Inventory records (item, quantity, par level)
• Tasks and reminders
• Photos you upload (receipts, animals, equipment)
• Member roles and farm-sharing relationships

This data belongs to you. We process it solely to provide the service to you and your invited farm members.

If you use weather-related features, we may use the farm location (latitude and longitude) you provide to retrieve local weather information from Open-Meteo.

2.3 Automatically collected information

• IP address (for security, fraud prevention, and approximate region)
• Device type and browser/operating system version
• Pages visited and features used (in aggregate, for product improvement)
• Crash reports and diagnostic data, which may include device, browser, and error information

2.4 Payment information

Subscription billing is handled by Apple In-App Purchases (iOS) and, in future versions, Stripe (web). We do not store credit card numbers, bank account details, or other payment instrument data. We receive only:

• Transaction confirmation
• Subscription tier and status
• Renewal/cancellation status

3. How we use your information

We use your information to:

• Provide, maintain, and improve the BarnDesk service
• Authenticate you and protect your account
• Process subscription payments via Apple/Stripe
• Send transactional emails (sign-up confirmation, daily reminders, member invitations, account notices)
• Respond to your support requests
• Detect and prevent fraud, abuse, or violations of our Terms of Service
• Comply with legal obligations
• Develop new features (in aggregate, never tied to individual users)

We do not:

• Sell your personal information to third parties
• Use your farm data to train AI models
• Show ads in BarnDesk

4. Who we share information with

We only share information with service providers we use to operate BarnDesk, to comply with law, to protect our rights, or with your consent. The current service providers we rely on are listed below. Each is bound by their own privacy and security obligations.

This list may change over time as our infrastructure evolves. We will update this Privacy Policy when we add or change service providers in a way that materially affects your data.

5. Where your data is stored

Your data is stored on Supabase's infrastructure in the United States (us-east region). Data is encrypted at rest and in transit (TLS 1.2+).

If you are accessing BarnDesk from outside the United States, you consent to the transfer of your data to and storage in the United States.

6. How long we keep your data

• Active accounts: for as long as your account is active
• Deleted accounts: soft-deleted for 30 days (recoverable by signing in), then permanently deleted
• Backups: retained for up to 7 days for disaster recovery
• Receipt photos and OCR analysis: stored alongside the receipt expense; deleted when the expense is deleted
• Legal records: financial transaction records may be retained up to 7 years to comply with tax law

7. Your rights

You have the right to:

• Access the data we hold about you
• Export your data in machine-readable format
• Correct any inaccurate information
• Delete your account and associated data
• Withdraw consent to optional processing at any time
• Opt out of non-essential email notifications

You may request access, export, correction, or deletion by emailing support@thebarndesk.com. In-app tools for these actions may also be available — see Settings within the app.

We will respond to verified requests within 30 days.

Regional rights

Depending on where you live, you may have additional rights under applicable privacy laws, including the EU/UK General Data Protection Regulation, California privacy laws (such as the CCPA/CPRA), and other regional frameworks. You may also have the right to lodge a complaint with your local data protection authority.

We do not sell personal information.

8. Cookies and similar technologies

BarnDesk uses only essential cookies required for the service to function:

• Authentication session cookie — keeps you signed in
• Current farm cookie — remembers which farm you last viewed (for users with multiple farms)

We do not use:

• Advertising cookies
• Cross-site tracking cookies
• Third-party analytics cookies (no Google Analytics, no Meta Pixel, etc.)

You can disable cookies in your browser settings, but doing so will prevent BarnDesk from functioning correctly.

9. Children's privacy

BarnDesk is not intended for children under 13. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided us with personal information, please contact us at support@thebarndesk.com and we will delete it.

For users between 13 and 18, we recommend parental supervision when creating an account.

10. Security

We take reasonable technical and organizational measures to protect your data:

• TLS encryption in transit (HTTPS)
• Encryption at rest in our database (Supabase Pro)
• Row-level security to ensure farms cannot access each other's data
• Periodic backups with point-in-time recovery
• Access controls limiting who at BarnDesk can view your data. Such access is limited to specific business needs, including support, troubleshooting, security, and legal compliance.
• Security incident monitoring via Sentry

No system is perfectly secure. If you believe your account has been compromised, contact us immediately at support@thebarndesk.com.

11. App Store privacy disclosures

Because BarnDesk is distributed through the Apple App Store, our privacy practices are also disclosed in App Store Connect. The disclosures in this Privacy Policy are intended to align with the data practices reported in our App Store privacy labels. If there is a discrepancy between our App Store privacy disclosures and this Privacy Policy, please contact us so we can review and correct the issue.

12. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. When we do, we will:

• Update the "Last updated" date at the top
• Notify you via email if changes are material
• Post the updated version at https://thebarndesk.com/privacy

Your continued use of BarnDesk after changes take effect means you accept the updated policy.
